The Personal Assistant will provide comprehensive administrative support to the two Directors of the company, ensuring the smooth operation of their daily activities. The role requires exceptional organisational skills, client care experience, and proficiency in bookkeeping, specifically with Sage software. The ideal candidate will have strong attention to detail, proficiency with accounting software (especially Sage), and the ability to handle multiple tasks efficiently.

Key Responsibilities:

  • Maintain and update financial records and bank reconciliations.
  • Ensure all financial transactions are accurately recorded in the appropriate accounts.
  • Process invoices, payments, and receipts.
  • Reconcile bank statements and other financial accounts.
  • Assist in preparing monthly, quarterly, and annual financial reports.
  • Assist in the preparation of budgets and financial forecasts.
  • Generate financial statements and reports for management review.
  • Assist with internal and external audits by providing necessary documentation and explanations.
  • Utilise accounting software, particularly Sage, to manage financial records and generate reports.
  • Chasing invoices from suppliers and carriers.
  • Taking minutes of meetings.
  • Provide support to other departments as needed.
  • Perform other administrative tasks as required to support the Directors and the business.
  • Act as a point of contact for clients, providing excellent customer service and addressing inquiries promptly.
  • Assist with managing the company’s BBBEE scorecard, ensuring all elements are addressed and optimised.
  • Coordinate audits and verification processes with BBBEE verification agencies.
  • Assisting in the preparation for meetings, including, but not limited to Board meetings, staff meetings etc.
  • Conduct research and gather information for projects and presentations.
  • Perform other administrative tasks as required to support the Directors and the business.
  • Prepare and edit documents, reports, and presentations as required.

 

Qualifications:

  • Proven experience as a Bookkeeper or in a similar role.
  • Proficiency in using Sage accounting software.
  • Excellent attention to detail and accuracy in financial record-keeping.
  • Strong organisational and time management skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • Effective communication and interpersonal skills.
  • High level of integrity and confidentiality.
  • Analytical and problem-solving skills.
  • Ability to handle multiple tasks and meet deadlines.
  • Proactive and self-motivated.

Preferred Qualifications:

  • Certification in bookkeeping, accounting, or related field.
  • Experience in the ISP or Telecommunications industry.
  • Familiarity with Sage or other account systems is essential.

Salary:

  • Negotiable but dependent on experience.
